Resync your product catalog

When a catalog resync helps, how to start one from the Dashboard, the once-a-day limit, and what a resync updates.

Resync your product catalog

Olvio keeps your catalog up to date on its own: when you create, edit or delete a product or a collection in Shopify, the change is synced to Olvio automatically. A resync re-imports your whole catalog from Shopify in one go. You can start one from the Olvio Dashboard once every 24 hours.

You don't need to start the first sync yourself: Olvio imports your catalog automatically the first time you open the app after choosing a plan. See How Olvio keeps your catalog in sync.

When a resync helps

  • You changed many products at once, for example with Shopify's bulk editor, a CSV import or an app that updates your products. When a large number of changes arrive together, some of them may not reach Olvio. A resync updates every product in one pass.

  • The chat shows outdated product details, such as an old price, description or product metafield value, or it doesn't find a product you recently added.

  • The Dashboard shows Some products aren't fully indexed.

You don't need a resync after changing your AI Setup: your Business description, Conversation rules, Knowledge files and External web pages are used without one. A resync also doesn't re-read your store pages, blog articles and policies, which Olvio reads separately. See How Olvio reads your store pages, blog articles and policies.

Start a resync

  1. In your Shopify admin, open Olvio. The Dashboard page opens.

  2. Find the catalog status near the top of the page.

  3. Click Resync now. If the last sync failed, click Retry sync instead.

The Dashboard then shows Catalog sync in progress. While the resync runs, Olvio keeps answering shoppers with the catalog it already has.

The once-a-day limit

You can start a resync once every 24 hours, counted from the start of the previous sync, including the first automatic import. Until then, Resync now is grayed out. Hover over it to see when it's available again, for example: Once per day max. Product and collection edits sync automatically. Available again in 3 h.

The limit doesn't apply when the last sync failed, or when the Dashboard shows Some products aren't fully indexed. In both cases you can start a sync right away.

How long it takes

The Dashboard says a sync typically takes 2 to 10 minutes. Large catalogs can take longer.

The sync runs in the background, so you can leave the page or close the Olvio admin. If you stay on the Dashboard, the status updates on its own when the sync is done, without reloading the page.

None

Catalog synced

The last sync finished. The row shows how many products Olvio has, and how many collections if there are any, followed by Last change synced: the last time Olvio updated a single product or collection, for example after you edited one in Shopify. This time doesn't show when your last resync finished. If Olvio has never updated a single product or collection, the row shows Last full sync instead, the time the last sync finished.

Resync now

Some products aren't fully indexed

Some active products aren't searchable by Olvio yet. Olvio also retries them automatically every day.

Resync now

Catalog sync failed

The last sync ended with an error. The banner shows an error message. Olvio keeps every product it had already imported and keeps answering shoppers.

Retry sync

The product count includes draft and archived products. Only products with the Active status in Shopify are recommended in the chat.

What a resync updates

A resync re-reads every product from Shopify and replaces Olvio's copy of it: title, description, vendor, product type, tags, status, main image, SEO description, options, variants (title, SKU, price, compare-at price and availability), product metafields and the collections the product belongs to. It also refreshes the details of those collections. When the resync finishes, it removes collections that no longer exist in Shopify or that contain no products, so the number of collections on the Dashboard can go down.

Notes you add in the custom.olvio_knowledge metafield are product metafields, so a resync re-reads them too. See Add product-specific notes with the custom.olvio_knowledge metafield.

What a resync doesn't do

  • It doesn't remove products. Olvio removes a product when Shopify notifies it that the product was deleted. To stop Olvio recommending a product without deleting it, set the product to Draft or Archived in Shopify. If a product you deleted still appears in the chat, contact us.

  • It doesn't read variant metafields. After a resync, Olvio may not have them until it next reads that product on its own, for example after you edit the product in Shopify.

  • It isn't limited by your plan. Every product is synced and answered, even when your catalog has more products than your plan includes.

  • It doesn't send requests with your Anthropic API key. However, a resync counts as a change for every active product, so on the night after it Olvio may generate new suggested questions for many of your products, in each language it serves for your store, and those requests use your key. See What uses your Anthropic API key, and what doesn't.

If a resync fails or seems stuck

  • Catalog sync failed: click Retry sync. The 24-hour limit doesn't apply. If the sync fails again, contact us.

  • Catalog sync in progress for several hours: no button is shown while a sync is in progress. Olvio checks for stalled syncs once a day. It then resumes the import, shows Catalog sync failed with a Retry sync button, or ends the sync. If Olvio ends it, the Dashboard shows Catalog synced or Some products aren't fully indexed, but your products may not have been re-imported. Click Resync now: it's available right away if the Dashboard shows Some products aren't fully indexed, and otherwise 24 hours after that sync started. If the sync is still in progress the next day, contact us.

  • Setting up your product catalog for more than a few minutes: there's no button to start the import yourself. Olvio keeps trying to start it while the Dashboard is open. If the banner doesn't change after a few minutes, contact us.

  • An error message appears when you click the button: A catalog sync is already in progress means a sync is still running, so wait for it to finish. Manual catalog sync is limited to once per 24 hours. Per-product edits sync automatically. means the once-a-day limit still applies. If any other error message appears, try again in a few minutes, and contact us if it keeps happening.

To contact us, use the chat in the Olvio admin. See Contact us and support hours.
