Describe your business, add keywords, knowledge files and web pages, and set the rules Olvio follows with shoppers.

Configure your AI Setup

The AI Setup page is where you brief Olvio about your store: what you sell, what the AI should know, and how it should talk to shoppers. Olvio uses these settings in every product page chat and, on the Growth and Scale plans, in Olvio Advisor conversations. Suggested questions don't use them. Olvio works without them, but its answers will be more generic.

Open AI Setup in the Olvio app menu. The page is available on every plan and has five sections: Business description, Categories / Keywords, Knowledge files, External web pages and Conversation rules.

Business description

Describe your business in the Description field, up to 10,000 characters. A counter in the bottom-right corner of the field, such as 1250/10000, shows how many characters you've used. Cover the basics:

  • What you sell and who it is for.

  • Your positioning (premium, accessible, technical, lifestyle, etc.).

  • What sets your products apart (made in France, organic, lifetime warranty).

  • Your headline policies: shipping, returns, warranty.

Write it the way you would brief a new salesperson on their first day. Two paragraphs of plain context help the AI more than a list of generic phrases. The placeholder shows one way to start: You are the virtual assistant for [brand], specializing in…

Olvio also reads your store's pages, blog articles and policies automatically. It only brings a passage into a product page chat when the passage matches the shopper's question, and Olvio Advisor doesn't use them. Stating your headline policies in the description keeps them in front of the AI in every conversation. On the Growth and Scale plans, you can also add a store page the Advisor needs under External web pages. Add only the pages the Advisor needs: each one counts toward your web page limit, is also used in product page chats, and can push older files and pages out of the ones the AI uses. Categories / Keywords

Keywords describe your AI's areas of expertise. To add one, type it in Add a keyword and click Add. Each keyword appears as a tag; click the × on a tag to remove it. You can add up to 30 keywords of up to 80 characters each, and a keyword spelled exactly like one already in the list isn't added again. Once the list has 30 keywords, Add clears the field without adding anything, so remove a keyword first.

Examples for a beauty store: Cleansers, Serums, Sunscreens, Body care. For a snowboard shop: All-mountain, Freestyle, Powder, Boots, Bindings.

Olvio gives your keywords to the AI as your store's areas of expertise. They don't replace your catalog: what the AI knows about your products comes from the catalog Olvio syncs from Shopify. See How Olvio keeps your catalog in sync.

Knowledge files

Add documents the AI should use to answer more precisely, such as an FAQ, spec sheets or guides. Supported formats are PDF, DOCX, TXT, MD and CSV, up to 50MB per file. For spreadsheets, save as CSV first.

To add a file:

  1. In Knowledge files, click Add files or drop a file on the upload area.

  2. Olvio extracts the text in your browser and opens a window titled Review: followed by the file name. Check the text and edit it if needed. Warnings, such as a scanned PDF with no selectable text, appear under Heads up.

  3. Click Save to knowledge base. The message File uploaded confirms it. To close the window without saving, click Cancel. If no text could be extracted, Save to knowledge base stays disabled.

Olvio saves only the text shown in the review window, not the original file. Each file can hold up to 900 KB of text, and the counter under the text shows the current size. If a document is longer, Olvio keeps the first 900 KB and warns you. If your edits push the text over 900 KB, the file isn't saved, a message starting with File content too large appears, and you need to add the file again. In a conversation, Olvio can only use part of a very long document, so keep each file focused on what shoppers actually ask.

Files are added one at a time. If you drop or select several, Olvio opens the first one and shows a message; add the others once you've saved or cancelled it.

You can't view or edit a file's text after saving it. To update a document, delete it with the trash icon next to its name and upload the new version. The file is deleted as soon as you click the icon, without a confirmation step.

External web pages

Add public web pages the AI should read, such as an FAQ or guide hosted on another site. Olvio reads each page when you add it, then checks it again automatically, normally every night.

  1. In External web pages, paste the page's full address, for example https://example.com/faq.

  2. Click Add. Olvio fetches the page right away and shows Page added to the knowledge base.

If the page can't be read, nothing is added and you see Could not fetch this page: followed by the reason. Olvio doesn't run a page's scripts. A page that builds its content with JavaScript can fail with No readable text found on the page, or be added with only part of its text, such as its menus. Sites that block automated visitors can fail with a reason such as HTTP 403. Pages larger than 3 MB are refused with the reason Page too large (max 3 MB). The address must be a public https:// address with a domain name, without an IP address or a port number (such as :8080), otherwise you see Invalid URL. Use a full public https:// address. Olvio reads web pages and plain text only: to add a PDF, upload it under Knowledge files instead. The same address can't be added twice.

Each page in the list shows a badge. Fetched means Olvio read the page, and the line below shows when it was last read. Error means the last attempt failed, and the line below shows when and why; the AI keeps using the content Olvio read before.

To check a page for changes now, click its refresh icon. You see Page refreshed if the content changed, or Already up to date if it didn't. To remove a page, click its trash icon.

Plan limits for files and web pages

Your plan sets how many knowledge files and how many web pages you can add. The two limits are separate: web pages don't count toward your file limit, and files don't count toward your web page limit.

A counter under each section's description, such as 3/10, shows where you stand and turns red when you reach the limit. At the limit, delete an entry before adding another. On Starter or Growth, you can also upgrade to a plan with a higher limit. Check the file counter before you add a file: at the limit, the review window still opens, but when you click Save to knowledge base the file isn't saved, an error message appears, and any edits you made in the window are lost. If you switch to a plan with a lower limit, the files and pages you already added stay, and a counter can show more than the limit, such as 50/30. You can't add more to that section until it's below the new limit.

How the AI uses your files and web pages

  • The AI is instructed to use the content as facts and state it as your brand's own knowledge, without naming the document or page it comes from.

  • Anything in your files and pages can be shared with shoppers, so don't add internal or confidential documents.

  • The AI is instructed to ignore instructions written inside files and pages. To change how the AI behaves, use Conversation rules.

  • Olvio uses your most recently added files and pages first. If you have many files and pages, or long ones, older entries may be left out and a long entry may be used only in part, so keep your knowledge base focused and delete documents that are out of date.

Conversation rules

Rules tell the AI what to do and what to avoid in every conversation. They come in two lists, Do and Don't:

  • Type one rule per numbered row, up to 500 characters. The placeholders show an example for each list: Adopt an expert, reassuring and transparent tone and Never make a medical diagnosis.

  • Click + Add a rule to add a row, up to 20 rules per list. Once a list has 20 rows, + Add a rule no longer adds a row, so remove one first.

  • To remove a rule, click the trash icon next to it. The icon appears when a list has more than one row. To remove the only rule in a list, delete its text, then save.

  • Empty rows are ignored when you save.

As the page suggests, state rules positively whenever possible: the AI follows them better when they describe what to do rather than what to avoid. For more advice, see Write effective conversation rules.

The AI's default tone is warm and reassuring, but direct. The AI is instructed to give your rules priority over Olvio's built-in instructions on tone, length and formatting, so use them to adjust the style. In product page chat, the AI is instructed not to let your rules change the language it replies in. The AI is instructed to apply your rules without telling shoppers about them.

The AI is instructed not to reveal or quote your setup (business description, keywords or rules) when a shopper asks about it; it is instructed to decline in one sentence and go back to helping. It still uses what your business description says to answer questions, so don't put internal or confidential information there either.

Save and apply your changes

Business description, Categories / Keywords and Conversation rules are saved together. As soon as you change one of them, the Shopify save bar appears:

  • Click Save. The message Configuration saved confirms it.

  • Click Discard to go back to your last saved version.

Knowledge files and external web pages don't use the save bar: each upload, addition, refresh or deletion is saved as soon as you make it.

Changes reach shopper conversations within a few minutes, usually from the next message a shopper sends. Your business description, keywords and rules, and the files and web pages Olvio uses, are sent to Claude with your Anthropic API key along with each shopper message, so long texts increase your Anthropic usage. See What uses your Anthropic API key, and what doesn't.
