Olvio stores your data with Cloudflare. See where it's stored, where requests run, and how Anthropic, Shopify and Intercom fit in.

Where is my data hosted?

Olvio runs on Cloudflare. The data Olvio keeps about your store, such as your settings, your synced products, your knowledge files and your shoppers' conversations, is stored with Cloudflare. This article explains where each part of the service runs and which other companies handle data along the way.

Where your data is stored

Olvio's primary data storage with Cloudflare includes a database, a vector index and a cache. The database is in the Western Europe region. The vector index and the cache run on Cloudflare's global network and aren't restricted to the European Union.

  • Database (Cloudflare D1): your store record and settings, your Shopify access token, your encrypted Anthropic API key, your AI Setup, your knowledge files and web pages, the products, collections, pages, blog articles and policies Olvio has synced, and your shopper interaction data (conversations, question logs, unanswered questions, widget events and order attribution).

  • Vector index (Cloudflare Vectorize): search data computed from your products, pages, blog articles and policies, which Olvio uses to find the right product or passage for a shopper's question. Every entry is tagged with your store, and every search is filtered on that tag, so a search only returns your own store's content.

  • Cache (Cloudflare KV): data Olvio keeps so it can respond faster and avoid counting the same widget event twice, such as your widget settings, short-lived copies of your encrypted API key, generated suggested questions, the text of your knowledge files, the Customer question map built from your shoppers' questions, and markers noting which anonymous shopper sessions had a conversation. The markers used to avoid counting the same widget event twice can include the shopper's IP address for a few minutes. Most entries expire on their own.

Cloudflare's Workers AI turns text into search data: your products, pages, blog articles and policies when they're synced, and shoppers' questions when they're asked. It also processes your shoppers' questions when Olvio builds your Customer question map, and your unanswered questions when Olvio groups similar ones on the Unanswered tab. Workers AI also runs on Cloudflare's global network.

Where requests are processed

Olvio's application runs on Cloudflare Workers, across Cloudflare's global network. Cloudflare chooses the data center that handles each request, for example the one closest to the person making it, or another one Cloudflare picks because the request runs faster there.

All traffic to and from Olvio's servers uses HTTPS.

The widget in your shoppers' browsers

The Olvio widget comes from Olvio's app extension in your Shopify theme and runs in the shopper's browser. It sends the shopper's questions to Olvio's servers on Cloudflare and shows the answers.

In the browser, the widget saves an anonymous session ID in local storage only when Shopify's Customer Privacy API reports that analytics is allowed for that shopper (an ID saved earlier isn't removed if that choice changes), and keeps the current chat in session storage. After Olvio replies to the shopper, the widget adds the anonymous session ID to their Shopify cart as the _olvio_session attribute, whether or not analytics is allowed. Anthropic, your AI provider

When Olvio uses Claude, it sends Anthropic the information that task needs (to answer a shopper, the conversation and the relevant store information), using your API key. These requests pass through Cloudflare on their way to Anthropic. See What uses your Anthropic API key, and what doesn't.

Anthropic is not one of Olvio's sub-processors: it processes this data under your own agreement with Anthropic. Where Anthropic processes and stores the data, and for how long, is set by that agreement and Anthropic's terms, not by Olvio. Olvio keeps the conversation history in its own database, as described above. Olvio doesn't use your shoppers' conversations to train AI models.

Shopify

Shopify keeps your store's own records, such as products, orders and customers, under your agreement with Shopify. Olvio reads the data it needs with the access you approve when you install it: read-only access to products, orders, themes, store languages and metaobjects. It also reads your store's public pages, blog articles and policies from your online store. Shopify is not one of Olvio's sub-processors.

Support chat in the Olvio admin

The support chat in the Olvio admin is provided by Intercom. It loads on Olvio admin pages and identifies your store by its .myshopify.com domain, along with your plan, your install date and your admin language.

Sub-processors and transfers outside Europe

Olvio is published by Topicimes, which uses two sub-processors for Olvio, both bound by data processing agreements:

  • Cloudflare, Inc.: application hosting, database, vector index, cache, rate limiting, search data (Workers AI) and routing of requests to Anthropic.

  • Intercom R&D Unlimited Company: support messaging in the Olvio admin.

When personal data is transferred outside the European Economic Area, the transfer relies on the European Commission's Standard Contractual Clauses. Transfers to Anthropic are your responsibility and Anthropic's. See Sub-processors list.

Who at Olvio can see your data

Olvio (Topicimes) staff can view your store's data through an internal, read-only console. It shows the same dashboards, conversation lists, transcripts (with the linked order, where there is one) and Customer question map as your Olvio admin, plus account and operational information such as your plan, install date, attributed revenue and technical health.

The console is used only for support, incident diagnosis and service quality control. Access is limited to people Topicimes authorizes, protected by single sign-on, and every access is logged.

How long your data is kept

Olvio deletes older records automatically every day. Conversations, question logs and unanswered questions are deleted once they're older than 30 days on Starter, 90 days on Growth and 365 days on Scale. When your store has no plan, for example from the moment you uninstall Olvio, the 30-day period applies. Deletion follows your current plan, so moving to a plan with a shorter period also removes older records at the next cleanup. Widget events and order attribution are deleted after 90 days on every plan.

Your synced catalog is kept for as long as Olvio is installed. While you're on a plan, Olvio keeps it in sync with your Shopify store, so a product you delete in Shopify is also removed from Olvio.

When you uninstall Olvio, Shopify sends Olvio a deletion request about 48 hours later, and Olvio then permanently deletes your store's data from its database and vector index. See What happens to my data when I uninstall Olvio.
